How it works
Show us where calls and quotes leak
Bring last month's call log, your open estimates and a rough count of after-hours calls. We measure the leak before anyone mentions software.
Pilot one job for the AI, with review rules
We pick a single task, write the scripts, consent notices and escalation rules, and run it alongside your staff for 30 days with a go or no-go decision at the end.
Talk to someone who has built HVAC funnels
No forms and no demo theatre. Call, text or email; you'll talk to a senior strategist.
AI can take real work off an HVAC office: answering the third call that comes in while your CSR is on the second, drafting the follow-up on a $14,000 heat pump quote that nobody chased, cleaning up technician notes before they reach the customer file. It can also embarrass you, by promising a same-day visit you can't make or quoting a rebate that closed in July. HVACAI.ca builds the first kind of AI and designs out the second, with a person reviewing anything a customer will see or hear.
Four jobs AI does well in an HVAC company
AI earns its place on narrow, repetitive tasks with a clear right answer and a human backstop. In our experience, four jobs fit that description in a heating and cooling business.
- Call answering and reception. Overflow and after-hours calls get answered, the caller's name, address, equipment and problem are captured, and urgent calls go to an on-call person. See AI call answering.
- Missed-call and estimate follow-up. Drafted texts and emails for missed calls and open quotes, sent on rules you approve and stopped when consent runs out. See follow-up assistants.
- Content assistance. First drafts of service pages, seasonal posts and rebate explainers, which a person fact-checks before publishing. See content assistance.
- Dispatch and reporting helpers. Call summaries, job-note tidying and a weekly one-page report. See dispatch and reporting.
What AI does badly is just as important. It should not diagnose equipment, give safety instructions beyond a script you approved, set prices, or decide who qualifies for a program. Our guide to AI phone failure modes walks through the specific ways it goes wrong on HVAC calls.
The arithmetic that justifies, or kills, an AI project
Start with the leak, not the tool. Suppose your office misses 40 calls a month during cold snaps and lunch hours. If a quarter of those were genuine service or replacement inquiries, that is 10 jobs a month at risk. If your average repair ticket were $450, with a few replacement quotes mixed in, even recovering half of those calls can be worth several thousand dollars a month.
Now run the other side. If the AI handles calls poorly and one in ten callers hangs up annoyed, you may lose more trust than you gain. That is why every project starts with a 30-day pilot measured against your own baseline: answered rate, booked rate, escalations and complaints. Our pilot guide shows the scorecard we use. If the numbers don't work, we tell you to stop.
Privacy and consent come first, not last
Canadian rules shape HVAC AI more than most vendors mention. Commercial texts and emails need consent under CASL, and the federal privacy law PIPEDA covers the personal information your AI collects, with Alberta, BC and Quebec running their own similar laws. The Privacy Commissioner's guidance on recording customer calls expects you to tell callers the call is recorded, say why, and offer a way to proceed without it.
Quebec goes further. Quebec's privacy regulator, the Commission d'accès à l'information, says that when a decision is based only on automated processing of someone's personal information, the person must be told and can present observations to a staff member who can review it. Our AI privacy and review rules service writes those notices into your setup from day one. We summarise the rules; we don't give legal advice, so complex questions go to your lawyer.
Who we are and what we are not
HVACAI.ca is part of the Sedighi.ca and SAZ.ca group of companies, a Canadian group headquartered in Vancouver, BC. It is led by Ali Sedighi, MBA, who has spent 17+ years in digital marketing since founding ONE.ir in 2007, has built 150+ live HVAC websites, and is Founder and Managing Partner of SAZ.ca, whose AI consulting practice works alongside us on these projects. The marketing side runs through our parent, HVAC.Agency.
We are a marketing and business consulting service. We don't install, repair or maintain HVAC equipment, and we never pretend the AI is a technician. Read more about how we work.
Proof from our HVAC marketing work
Our case studies are marketing results, not AI results, and we keep that distinction honest. They show what happens when calls and leads are handled with discipline: HVACDeal.ca produced 500+ leads at a 12:1 ROI, CanroHeat.ca grew leads by 250%, and BCWide.ca tripled leads in 90 days. More leads are only worth something if someone answers them, which is exactly where AI help pays off. See all results.
Where we work and how to start
We take on HVAC companies in every province and territory, whether you install heat pumps in the Lower Mainland or convert oil-heated homes in Newfoundland. Each regional page covers the local language, privacy and seasonality issues that change how AI should be set up there. Plans and the free trial are on our pricing page.
Frequently asked questions
What is HVACAI.ca?
HVACAI.ca is a Canadian service that plans and sets up AI tools for HVAC and heating companies, delivered with the AI consulting practice of SAZ.ca. It belongs to the Sedighi.ca and SAZ.ca group, is headquartered in Vancouver, British Columbia, and is led by Ali Sedighi, MBA.
Do you service furnaces, boilers or heat pumps?
No. We are not an HVAC contractor and never send anyone to a home or building. We work on the office side of your business: phones, follow-up, content and reporting.
Will an AI voice replace my dispatcher or CSR?
We don't recommend it. The setups we build cover overflow, after-hours and repetitive admin, and they pass urgent, upset or unusual callers to a person. Your people stay in charge of pricing, promises and scheduling exceptions.
What can go wrong with AI on the phone?
It can mishear addresses, misunderstand a no-heat emergency, invent an answer about price or rebates, or frustrate a caller who just wants a human. Our scripts are built around those failure modes, and we test them before a single real customer hears them.
Is AI follow-up legal under CASL?
It can be, if you have consent, identify your business and offer a working unsubscribe. A quote request generally gives implied consent for six months under CASL, so follow-ups need a clock and a stop rule. We set those up; your lawyer confirms anything unusual.
What does it cost?
AI work is scoped inside our HVAC marketing plans, which start at $2,998 per month plus GST/HST by province. You can try us first: the 7-day free trial needs no credit card and includes an audit of how your calls and quotes are handled today.
